Event Manager

POSITION SUMMARY

The Event Manager exclusively directs all aspects of planning and execution of VISIT Lake Geneva’s four signature public events and multiple Partner (member) events throughout the year.

ESSENTIAL RESPONSIBILITIES

COMMUNITY EVENTS

  • Develop a comprehensive event plan and process for VISIT Lake Geneva’s four signature community events including Winterfest, Restaurant Week, Concerts in the Park, and Electric Christmas Parade.
  • Develop and manage sponsorship programs unique to each event and produce an annual catalog to highlight.
    • Solicit existing and prospective sponsors according to event plans and budget goals; manage sponsor invoicing, collections, and deliverables.
  • Establish and manage event budgets, including expense and income forecasts, obtaining pre-approval of expenditures, and tracking all event expenses and income.
  • Manage operational aspects of each event including, but not limited to:
    • Coordination of lodging, meals, and transportation
    • Securing musical and other entertainment
    • Coordination of site logistics and physical setup
    • Sourcing and securing vendors and suppliers
    • Recruiting and scheduling staff and volunteers
    • Recruiting business and organization participants
  • Schedule and attend all necessary planning and follow-up meetings with staff and event vendors/partners/participants.
  • Coordinate and obtain necessary permits, licenses, and permissions. Attend related municipal meetings as needed.
  • Maintain positive relationships and effective communications with event sponsors, vendors, staff, and event partners.
  • Coordinate and execute all elements of event plans including pre-event preparation, day-of-event tasks, and post-event wrap-up and evaluations.
  • Attend all events, executing each according to established timelines, goals, and outcomes.
  • Maintain and manage storage and organization of all event materials and supplies onsite and offsite.

 

PARTNER EVENTS 

  • Plan and manage monthly Partner (member) Meetings including venue selection and contracting, budget, meeting logistics, speaker sourcing, and agenda.
    • Arrange for site visits and consultations with venue to confirm meeting setup and food and beverage needs; execute contract with venue representative.
    • Consult with Partnership Manager and VP to confirm agenda topics and speakers; solicit and confirm speakers; create final meeting agenda.
    • Create email invitations and reminders to Partners, staff, Board, and state and local officials.
    • Attend Partner meetings and manage post-event follow-up tasks.
  • Plan and manage Partner Ribbon Cutting Program by responding to requests for ribbon cuttings and planning events according to Program guidelines.
    • Schedule ribbon cutting date with Partner, confirm logistics and prepare event agenda.
    • Create email invitations and reminders to Partners, staff, Board, and state and local officials.
    • Attend ribbon cuttings and manage post-event follow-up tasks.
  • Plan and manage Multi-Chamber Business After Hours events in collaboration with neighboring Chambers of Commerce.
    • Plan and execute one to two Visit Lake Geneva-hosted events annually; secure Partner venue and arrange all logistics with host including food and beverage, entertainment, setup, and speakers.
    • Create email invitations and reminders to Partners, staff, Board, and state and local officials.
    • Attend BAH events and manage post-event follow-up tasks.

 

OTHER

  • Assist and support Vice President and CEO with other projects as assigned.
 
COMPETENCIES 
  • Demonstrated experience producing and executing public/community events.
  • Experience in sponsorship sales and sponsor program development.
  • Exceptional interpersonal communication skills and demonstrated ability to work independently and in team environments.
  • Excellent written communication skills.
  • Highly organized with the ability to multi-task, prioritize projects, maintain processes, and meet multiple deadlines.
  • Proficiency in Office 365 and Google products.
 
EDUCATION & EXPERIENCE
  • Degree or certification in Event Management or related field, or a minimum of two years of relevant event planning experience.
 
SPECIAL REQUIREMENTS
  • Position is onsite; office located in Lake Geneva, Wisconsin.
  • Typical office hours Monday through Friday, with flexibility to meet job requirements.
  • Flexibility for some remote working. 
  • This role combines desk work and hands-on work that requires time moving about in both indoor and outdoor settings.
